We are seeking a highly organised and proactive Compliance & Systems Administrator to join our growing team on a 12-month fixed-term contract at Paradigm Housing Group. Reporting to the Mechanical & Electrical (M&E) Manager, this role is critical in supporting the compliance and safety of our housing stock. This is an exciting opportunity to be part of a team dedicated to maintaining high standards of customer care, safety, and operational efficiency.

Job Purpose:

The primary focus of this role is to provide essential administrative support to the M&E Manager, particularly within the Asbestos and Mechanical workstreams. The successful candidate will ensure that all Asbestos Surveys and Removal Documents are accurately uploaded to our asbestos register and systems. Additionally, you will oversee the management of compliance documentation and certification, ensuring it is promptly and accurately entered into our systems.

Key Responsibilities:

  • Compliance Administration: Provide effective administrative support for all compliance-related tasks, ensuring the timely and accurate processing of documentation and certification.
  • Data Management: Accurately update and maintain the Asbestos register and compliance functions within our systems (Civica CX and Tracker spreadsheets).
  • Job Management: Oversee the administration of job allocations, ensuring that actions are correctly logged and closed out in our systems.
  • Financial Administration: Process and batch purchase orders and invoices within agreed timeframes.
  • Communication: Liaise with internal teams, subcontractors, and third-party service providers, ensuring effective communication and value-added service delivery.
  • Cross-Team Support: Collaborate across teams to contribute to the achievement of departmental objectives, including customer services and field operatives.
  • Process Improvement: Identify opportunities for process improvements to streamline efficiencies in administrative tasks.

What We’re Looking For:

  • Previous Experience: Experience working in an office environment is preferred.
  • IT Proficiency: Competence in using Microsoft Office Suite, including Outlook, Excel, SharePoint, and Teams is essential.
  • Attention to Detail: Strong ability to ensure accuracy in data entry and compliance documentation.
  • Proactive Approach: A can-do attitude with the ability to work autonomously and take initiative in identifying and implementing process improvements.
  • Organisational Skills: Excellent organisational skills with the ability to manage multiple tasks and priorities effectively.
